What a bank feed provides
When a bank or credit-card account is connected, QuickBooks Online can download transaction information from the financial institution. Those downloaded items give the bookkeeping workflow a useful stream of dates, amounts, and descriptions.
Downloaded does not mean fully recorded or reviewed. QuickBooks presents transactions for review and may suggest categories based on prior activity, but a person still needs to decide whether an item should be matched to an existing record, categorized, split, or investigated.

Reviewing, matching, and categorizing transactions
Matching connects a downloaded item with a transaction already recorded in QuickBooks so the same activity is not entered twice. Categorizing records an item to an appropriate account when there is no existing transaction to match. Some items require a split because one amount relates to more than one category.
The bank description may not provide enough business context to make the right decision. Questions about the purpose of a purchase, the source of a deposit, or the reason for a transfer may need an answer from the owner before the item can be handled consistently.

What reconciliation checks
Reconciliation uses an account statement as the comparison point. The statement ending date and ending balance define the period, and the recorded transactions are compared with the activity shown by the financial institution.
The objective is to account for the differences until the reconciliation reaches zero. This process can reveal missing transactions, duplicates, incorrect amounts, or activity recorded in the wrong account or period.

Why a connected feed is not the same as reconciled books
A feed can be connected while transactions remain unreviewed. It can also contain only the activity the connection supplied, while the bookkeeping file may include manually entered or previously recorded items. Reconciliation tests the completed record against the statement rather than assuming the download is complete.
That is why ‘the bank is connected’ and ‘the account is reconciled through the latest statement’ answer different questions. The first describes a data connection. The second describes a completed comparison for a defined period.

A hypothetical example
Hypothetical example—not a client result
Suppose a business pays a $240 vendor charge. The charge downloads through the bank feed, but the same purchase was already entered from a receipt. If the downloaded item is added as new instead of matched, QuickBooks may show the expense twice.
Later, reconciliation compares the QuickBooks activity with the statement. The statement contains one $240 charge, while the books contain two. The mismatch prompts a review so the duplicate can be identified and handled appropriately. The feed supplied transaction information; reconciliation tested whether the accounting record agreed with the statement.
Questions to ask your bookkeeper
Ask which bank and credit-card accounts are connected, who reviews downloaded activity, how unmatched or unclear items are communicated, and through which statement date each account has been reconciled.
Also ask how duplicates, transfers, owner activity, and transactions without enough context are handled. Clear answers help you understand the workflow without relying on a dashboard connection as proof that the bookkeeping is complete.
- Which accounts are included in the bookkeeping scope?
- Who reviews and approves downloaded transaction information?
- How are unresolved items sent back to the owner for context?
- Through what statement ending date is each account reconciled?
- Are reconciliation reports retained for later review?
